Position: Front Office Administrator

FLSA: Hourly, Full-Time or Part-Time, Non-Exempt

Job Summary:

The primary responsibility of this position is to support law firm staff and create a professional and friendly atmosphere for law firm clientele and vendors. A person in this position must be able to demonstrate professional integrity, and good judgment. A professional image, excellent communication and strong organizational skills are required. In addition, this position requires a person who is responsible, dependable, who possesses a great work attitude, and is a team player.

Requirements:

  1. Provides prompt, courteous and excellent service to internal and external parties.
  2. Has a general understanding of the legal process (or ability and willingness to learn).
  3. Communicates in a clear, professional, friendly and concise manner, both verbally and in writing.
  4. Acts as liaison between clients, vendors, lawyers and firm staff.
  5. Manages the conference room schedules, kitchen and common areas.
  6. Assists with administrative duties and other office tasks, including filing and scanning.
  7. Provides light secretarial assistance to lawyers and firm staff.
  8. Displays a positive attitude toward work product and co-workers.
  9. Performs other duties as assigned.

Qualifications:

  1. Ability and willingness to work cooperatively with lawyers and office staff as a team.
  2. Ability to respond professionally and courteously in and to high stress situations.
  3. Ability to maintain positive relationships with clients and vendors.
  4. Ability to operate multi-phone line system.
  5. Proficient technology skills and experience with Microsoft Office Suite.
  6. Ability to analyze and resolve routine administrative conflicts and anticipate office needs.
  7. Ability to be flexible and exercise independent judgment.
  8. Ability to take direction, accept responsibility for assigned tasks and learn from problematic situations when they occur.
